1. Our statement on personal data protection

Scope of the privacy policy

At ALIS ApS (hereinafter "ALIS" or "we/us"), data protection and confidentiality are a high priority.

This privacy policy forms the basis for our processing of your personal data and tells you how we process your personal data. This applies both to the personal data ALIS collects and the data you provide when you visit alis.dk or share your personal data in an ALIS store.

At the end of the privacy policy, you can read about your rights as a data subject and how to exercise them.

In addition to this privacy policy, you can also find our cookie policy on the website, together with our terms and conditions.

We will continuously assess how best to process your data. We are particularly focused on ensuring that your fundamental rights are not adversely affected. We therefore pay special attention to the risk of discrimination, identity theft, financial loss, loss of reputation, and data confidentiality in general.

Collection of personal data

You will always be informed in connection with the collection of personal data about you. At the same time, we will inform you of the purpose for which we carry out the processing.

This information is provided either by reference to this privacy policy or by you receiving separate information, e.g. a request for acceptance/consent to processing.

We would like to point out that some data may be a prerequisite for being able to carry out the desired action, such as completing a transaction on our website.

2. Data we process about you

Our processing of your personal data takes place in order to provide you with better service and to ensure the quality of the products and services we offer you.

3. The purpose of our processing of your personal data

Our collection and processing of your personal data takes place on the basis of specific stated purposes or other lawful business purposes. These main purposes include:

Processing of your purchase and any subsequent delivery of your order
Customer service and customer assistance
Marketing, including newsletters, SMS marketing, competitions, events, online advertising and surveys, etc.
Improvement and optimisation of our marketing, including through the use of spy pixels

Only data necessary to fulfil these purposes will be relevant, and our processing will therefore be limited to such personal data. Once the purpose of collecting and processing your data has been achieved, we delete your personal data, unless legal requirements require a specific retention period, e.g. the Danish Bookkeeping Act.

Data may, however, be processed and stored for a longer period in anonymised form. In anonymised form, the information can no longer be traced back to you.
The assessment of whether the purpose has been fulfilled is made on a case-by-case basis. This assessment takes into account, among other things, the nature of the specific information, the background for the registration, and what the information is used for.

Prior to collecting your personal data, a specific assessment is also made as to whether it is possible to limit the amount of personal data to be collected and processed. We also make a specific assessment of whether it is possible to process your personal data in an anonymised or pseudonymised form.

Our processing of your personal data will only include the data necessary to process on the basis of the stated purpose(s), as well as data necessary to fulfil legal or contractual obligations.

4. Obtaining consent prior to data processing, or processing on another lawful basis

Before we process your information, we will obtain your consent, or base the processing on another lawful basis. We will inform you of the basis and purpose of the collection and processing of your personal data, including, where relevant, by reference to this privacy policy.

We obtain, among other things, your consent to send newsletters, cookie-based marketing, SMS marketing, when you share personal data in an ALIS store, if you apply for a job and we wish to keep your application for later recruitment, or if you make use of our whistleblower scheme and do not wish to remain anonymous.

Consent is obtained on the basis of Article 6(1)(a) of the General Data Protection Regulation and, in some cases, Article 9(1)(a) of the General Data Protection Regulation.

Other grounds than consent for our processing of your information

In the following points, we list the additional grounds on which we process your information when it is not based on your prior consent. Please note that these points do not constitute an exhaustive list of grounds.

Completion of your order on our website

When purchasing via our website, where you provide contact details and payment information, we use the information you have provided in order to process and complete the purchase, cf. Article 6(1)(b)(c) of the General Data Protection Regulation.

Inquiries made on your own initiative to customer service

When you contact our customer service via chat, email or phone, we register the personal data you provide to us. Our customer service has access to all information regarding your order so that they can assist you in the best possible way, including if you have questions about your order or wish to return an item. Our customer service also has access to all previous correspondence with you, as this helps them provide you with better service.

If you use our "notify me" service, we use your email address to notify you when the desired item is back in stock.

The basis for processing your personal data in connection with your inquiry on your own initiative is Article 6(1)(b)(f) of the General Data Protection Regulation. If your information is collected in connection with your inquiry, you will receive a reference to our privacy policy as part of our response.

Inquiries made on your own initiative when applying for a job

We store solicited applications for as long as the recruitment process is ongoing. If we inform you of a rejection of your solicited application but wish to keep your application for a later appointment, we will obtain your consent to do so. If you consent to this storage, the application will as a general rule be deleted after 6 months, unless a different and longer period has been agreed with you.

If, on the other hand, you submit an unsolicited application and there is no vacant position at that time, but we wish to keep your application for a later appointment, we will inform you of how long we will store the application and for what purpose. As a general rule, we store applications for 6 months.

The basis for processing your personal data in connection with your inquiry on your own initiative is Article 6(1)(b)(f) of the General Data Protection Regulation and, in a few cases, Article 9(1)(a). If your information is collected in connection with your inquiry, you will receive a reference to our privacy policy as part of our response.

Improvement and optimisation of your user experience

In order to give you the best experience on our website and social media, we use cookies to see how you use our website and social media, so that we know how we can make it an even better experience for you, cf. Article 6(f) of the General Data Protection Regulation. You can read more about the use of cookies in our Cookie Policy, which can be found on our website, as well as in the section on cookies below.

In addition, we use data on the navigation of all our users to understand how our users as a whole use alis.dk, and we attempt, on this basis, to improve the website. In this connection, we would like to point out that we cannot see where you came from before visiting our website, or where you go on the internet after leaving our website. In addition, we collect information about which products our users, as a group, prefer. This information is also used to improve the website.

Marketing

In order to present you with the most relevant news and marketing based on your interests, we and our partners use personal data to personalise the recommendations and promotions on our website and to present you with relevant marketing on other websites and social media.

For this purpose, we use information about your use of our website and services, including your order history and profile information. This information may be used together with other information you have provided to our partners, or that our partners have collected themselves, including via cookies that they use when you visit our website. Fraud prevention and securing legal claims

The information you provide to us when making a purchase on our website may be used in connection with the prevention and investigation of suspected fraud. In this connection, we may also receive additional information from our payment solution providers, cf. Article 6(1)(f) of the General Data Protection Regulation.

Legal requirements

We store your personal data in order to comply with various legal requirements, e.g. bookkeeping rules, cf. Article 6(1)(c) of the General Data Protection Regulation.

5. Protection of personal data

Our processing of personal data takes place in accordance with internal procedures. These procedures contain instructions and measures, all of which are intended to protect your personal data.

We thus process your personal data in a way that prevents it from being destroyed, lost, altered, disclosed without authorisation, and protects it against unauthorised persons gaining access to or knowledge of your personal data.

In the event of a security breach that entails a high risk to you of discrimination, identity theft, financial loss, loss of reputation, or other significant inconvenience, we will notify you of the security breach as soon as possible. The Danish Data Protection Agency will also be notified of security breaches in accordance with the legislation.

7. Sharing of personal data

When sharing your personal data, we handle and process your personal data. It may be necessary for us to share your personal data with third parties as part of our business and the purpose of processing your personal data. All third parties with whom we share personal data are obliged to process your personal data securely.

Sharing will only take place when it can be accommodated within the legal basis, is necessary, and is proportionate.

Transfer of personal data to countries outside the EU/EEA
Partners may in some cases be located outside the EU/EEA.

These partners only process personal data on behalf of ALIS and in accordance with ALIS' instructions, and we will always ensure that the level of data protection is sufficient to protect your personal data.

The transfer of data is generally secured through the European Commission's standard contractual clauses, but may also be based on another basis that likewise ensures secure processing and registration of your data, cf. Article 45 of the Data Protection Regulation.

Some of our partners use external subcontractors or sub-processors outside the EU/EEA. In such cases, our partners are obliged to ensure that your personal data remains adequately protected.

8. Deletion

Once the purpose of our processing of your personal data has been achieved, we delete your data, unless legal requirements prescribe a longer retention period. This may, for example, be the case under the Danish Bookkeeping Act.

Where our processing is based on your consent and you withdraw such consent, we delete your personal data collected in connection with that consent. However, we will be able to store your data in anonymised form.

Under the General Data Protection Regulation, you have a number of rights in relation to our processing of information about you.

Right of access
You are entitled at any time to be informed about the personal data we process about you, subject to certain limited legal exceptions.

Right to rectification (correction)
You have the right to have inaccurate information about yourself corrected.

Right to erasure and withdrawal of consent
In certain cases, you have the right to have information about you deleted before the time of our general, regular deletion occurs.

Your consent is voluntary, and you can withdraw it at any time by contacting us.

Please note that if you choose to request the deletion of your information, or to withdraw your consent regarding information provided to us, we will not be able to continue processing your information, unless we are legally or contractually obliged to do so.

If you choose to withdraw your consent, it does not affect the lawfulness of our processing of your personal data based on your previously given consent up until the time of withdrawal. If you withdraw your consent, it will therefore only take effect from that point onwards.

Right to restriction of processing
In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have processing restricted, we may in future only process the information — apart from storage — with your consent, or for the purpose of establishing, exercising or defending legal claims, or to protect a person or important public interests, cf. Article 6(a)(b)(c)(d)(e)(f) of the General Data Protection Regulation.

Right to object
In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You can also object to the processing of your information for direct marketing purposes.

Right to data portability
In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format, and to have this personal data transferred from one data controller to another without hindrance.

Profiling
ALIS may use profiling in connection with targeting our marketing. This occurs when you have given your prior consent in connection with receiving marketing.

You can always object to our direct marketing.

Complaints
If you wish to appeal the processing of your personal data, please contact us by email, phone or letter as indicated above.

You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet) if you are dissatisfied with the way we process your personal data. You can find the Danish Data Protection Agency's contact information at www.datatilsynet.dk.
